About the Position The Patient Access Supervisor oversees reception, phones and the mailroom. This position coordinates with financial screening, clinical staff and billing to maintain day-to-day operations and staffing. SupervisionThis position directly supervises up to 20 employees. Carries out supervisory responsibilities in accordance with organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning and directing work; monitoring performance; rewarding and disciplining employees; and addressing complaints and resolving problems. Essential Duties and Responsibilitiesinclude the following. Other duties, responsibilities and activities may change or be assigned at any time with or without notice. Provides daily support/mentoring/training to new hires as well as existing Patient Access staff. Provides assistance in managing escalated issues as needed. Assists in preparation for both short and long range planning recommendations for all registration process areas including; admitting, scheduling and outpatient services. Maintains positive customer service at all times, assisting staff in resolving issues. Enforces departmental policies, practices, procedures and work rules in accordance with approved department and agency policies and assists in the development and implementation of new policies according to agency and regulatory guidelines. Responsible for the monitoring of daily activity and completion of performance and metric reports; also can perform special projects and reporting when assigned. Perform all Patient Access functions as needed. Acts as part of the management team to ensure that the group is meeting all operational goals. Acts as the central point of communication and determines the need and facilities accessing back up plans during times of increased volume. Provide telephone and face to face response to requests for services/information in a timely manner. Handles both internal and external customers in a professional manner and continually works at promoting the services of the agency. Completes documentation accurately and in a timely manner. Attends staff meetings as scheduled and seeks regular supervision. Fulfills job duties with minimal disruption to scheduled coverage. Supports a system-wide understanding of trauma prevalence, impact and trauma informed care. Fosters healing, hopeful, honest and trusting relationships for consumers and employees; Value consumer voice, choice and self-advocacy. Demonstrates a commitment to cultural competence. Promotes a safe, calm and secure environment with supportive care and family-driven services that are trauma specific and promote recovery and wellness. Other duties as assigned. Education and / or ExperienceHigh school Diploma or equivalent required College degree in Business, Accounting, Medical Administration or related area preferred 4 years' experience in medical facility, health insurance, or related area 3 years' experience in Patient Access preferred 2 years in supervisory or lead role Experience in customer relations and cross system communication Computer Skills To perform this job successfully, an individual should have demonstrated competence in Microsoft Office suite and basic data entry skills.
