The Unit Secretary - Rehab Services is responsible for clerical and secretarial duties specific to Physical, Occupational and Speech, primarily in the outpatient area, with occasional duties related to the inpatient therapy services: performs supportive duties to keep the department running efficiently and according to departmental/hospital policies and procedures. Coordinates patient schedules with staff availability, maintains patient records, and acts as a liaison between the clinic, hospital and physician offices to ensure smooth operations and patient flow. Works collaboratively with the Medical Records department and Patient access to ensure charts are readily available for billing and maintained within the HIM department. Safely manages the environment of care while providing services.
DUTIES AND RESPONSIBILITIES:
Essential Job Duties:
Verifies and enters patient charges daily.
Prepares medical records for new admissions and discharged patients.
Enters and verifies orders in the computer system.
Enter patient demographics.
Communicates appropriately and clearly to charge nurse, co-workers and physicians.
Retrieves lab results from computer and brings the results to the attention of the charge nurse.
Demonstrates an ability to be flexible, organized and function under stressful situations.
Treats patients and families with respect and dignity.
Interacts professionally with patient/family and provides explanations and verbal reassurance as necessary.
Maintains a good working relationship both within the department and with other departments.
Documentation meets current standards and policies.
Answers telephone/intercom in a polite manner and communicates information to the appropriate personnel/family.
Place telephone calls upon request to physicians.
Manages and operates equipment safely and correctly.
Reports to work on time and as scheduled, completes work within designated time.
Adheres to scheduling requests of the department (Works weekends, no â��special days offâ��, no exceptions).
Adheres to the Customer Service Standards of Texas Regional Medical Center while representing the organization in a positive and professional manner.
Communicates the mission, ethics and goals of the facility, as well as the focus statement of the department and complies with all organizational policies regarding ethical business practices.
Utilizes computerized punch time system correctly.
Completes annual education requirements and maintains regulatory requirements.
Adheres to dress code, appearance is neat and clean and wears identification while on duty.
Completes in-services and returns in a timely fashion and has not missed any mandatory in-services.
Attends at least 8 staff meetings annually, is responsible for information presented at monthly staff meetings that he/she is unable to attend.
Actively participates in performance improvement and continuous quality improvement (CQI) activities.
â�¢ High school graduate or equivalent.
â�¢ Some college or vocational training preferred
â�¢ One year of experience is required with basic word processing/computer skills
â�¢ Medical terminology preferred experience in a clinical rehabilitation setting preferred
â�¢ Current BLS certification.
â�¢ Ability to read and communicate effectively in English.
â�¢ Additional languages preferred.
â�¢ Basic computer knowledge.
â�¢ Knowledge of medical terminology.
